Project Coordinator Role Description — Venezuela

1. Project context

We are developing a mega-project made up of four sub-projects, each implemented by one or more implementing partners, addressing complementary needs of communities affected by the earthquakes that occurred in Venezuela in June 2026:

  • Primary and emergency medical care

  • Support for pediatric surgeries

  • Psychological trauma recovery

  • Sexual and reproductive health care

Healing Venezuela funds and coordinates these sub-projects, drawing on its existing and future network of medical partners and volunteers in Venezuela.

2. Role of the project coordinator

The coordinator will be responsible for the overall coordination of the project, consolidating reports from all partners on a periodic basis for Healing Venezuela’s leadership team and donors.

3. Main responsibilities

Coordination

  • Maintain the overall work plan, timeline, and key milestones.

  • Coordinate regular communication with implementing partners.

  • Track actions, deadlines, and deliverables.

  • Identify delays or issues affecting implementation and follow up on them.

  • Keep the relevant HV UK contact informed of progress.

Partner relations

  • Act as the main day-to-day point of contact for implementing partners.

  • Clarify expectations, deliverables, and reporting requirements.

  • Follow up when activities or reports are delayed.

  • Help partners resolve operational issues and escalate matters that require an HV decision.

Monitoring and reporting

  • Agree with partners on appropriate indicators and reporting mechanisms.

  • Collect and review program information.

  • Review partner reports to check they are complete and consistent.

  • Consolidate quantitative and narrative information for HV and donors.

  • Track progress against agreed outputs and outcomes.

  • Gather appropriate evidence of impact, including testimonials and case studies.

  • Identify needs and possible synergies.

Budget and risk management

  • Oversee spending against agreed budgets.

  • Identify significant deviations or potential issues and report them to HV.

  • Maintain an overview of operational and program-related risks.

  • Track agreed actions to address risks and delays.

  • Escalate significant financial, operational, safeguarding, or reputational issues.

4. Mandatory requirements

  • University degree.

  • 3 to 5 years of experience in project coordination or implementation.

  • Experience working in the charity/NGO sector.

  • Experience coordinating projects involving multiple organizations or partners.

  • Experience tracking activities, deliverables, timelines, and budgets.

  • Experience preparing project reports and working with indicators.

  • Excellent spoken and written Spanish.

  • Strong organizational, communication, and interpersonal skills.

  • Ability to identify progress, gaps, and emerging issues.

  • Ability to work independently and manage simultaneous priorities.

  • Ability to create basic photographic and audiovisual content.

5. Desirable experience

  • Experience working with international donors.

  • Humanitarian or emergency response experience.

  • Experience in health, psychosocial support, or related programs.

  • Experience in Monitoring, Evaluation and Learning (MEAL).

  • Knowledge of humanitarian principles and safeguarding.

  • Working level of English, especially for communication with the UK team and report writing.

6. Digital tools

The candidate should be proficient with common digital tools for communication, document creation, data management, and collaborative work, including Google Workspace (Drive, Docs, Sheets, and Forms), Microsoft Office (Word, Excel, and PowerPoint), Zoom, WhatsApp, and Canva, as well as other storage and file management platforms used by HV.

7. Required equipment and expenses

The candidate must have a laptop, an up-to-date mobile phone, Wi-Fi connection, and their own vehicle to carry out the activities and travel required by the project.

8. Working hours

20 hours per week, with flexibility in how the hours are distributed.

9. Consultancy period

Initial six-month consultancy, with a one-month probation period.

The coordinator will have the possibility of extension, subject to program needs, funding, and performance.

The project coordinator must submit an invoice on the last Monday of each month with the monthly amount due, along with bank details for the corresponding transfer.

10. Salary

$12 to $16 per hour, depending on the applicant’s experience.

An arrangement will be agreed for reimbursement of fuel costs for field visits.

11. Reporting line

The coordinator will be in constant contact with the CEO of Healing Venezuela and will have a weekly supervision meeting with her.

IMPORTANT

Once selected, the coordinator will develop a reference model to structure the project, which will include:

  • Quarterly objectives;

  • A three-year budget breakdown by sub-project; and

  • A governance and monitoring calendar.

The project coordinator will carry out the functions described above in their role as a consultant, which means that, in order to make significant and binding decisions, they must consult with the CEO of Healing Venezuela.
